
Administrative Changes
Approval Requirements
Due to the varied nature of administrative changes, they may or may not require approval by The University of Texas System Office of Academic Affairs, the Texas Higher Education Coordinating Board (THECB), or Southern Association of Colleges and Schools Commission on Colleges (SACSCOC).
To streamline the process, only one form needs to be submitted for the following changes:
- Semester Credit Hours – Changes for Single Majors.
- Semester Credit Hours – Changes for Double Majors.
- Reclassify Classification of Instructional Program.
- Rename Degree/Certificate Program Title or Program Designation Changes.
- Program Closure.
- Program Consolidation.
- Suspend an Academic Certificate.
- Instructional Modality Changes or Additions.
- Off-Campus Programs.
- Funding Model Change/Addition.
- Administrative Unit Changes.
All forms must be submitted to Eric Van Leeuwen, Associate Provost for Curricular Services, for routing to internal governance committees and external agencies for approval as appropriate.
Semester Credit Hours (SCH) Changes for Single Majors (docx)
- Schools will need to complete the THECB’s SCH form for single majors.
- Schools will submit the necessary catalog changes to the Office of the Registrar upon THECB’s approval.
Semester Credit Hours (SCH) Changes for Double Majors
- No form is needed for double majors.
- Requested SCH changes should be agreed upon by faculty for each represented major. If agreement cannot be reached, discussions will take place within or outside of the Council for Undergraduate Education.
- The double majors’ proposed changes undergo the internal UT Dallas governance process but will not go through THECB review unlike single majors.
- Both schools will submit the necessary catalog changes to the Office of the Registrar.
Reclassify Classification of Instructional Program (CIP Code) (docx)
- The school may request to reclassify the CIP code based on the changes made to a program’s curriculum.
- If the reclassification is a change from a non-STEM CIP code to a STEM code, the curricular changes will need to be evident (i.e., emphases on quantitative research courses, analytical methodologies, etc.)
- The school will provide a rationale within the form.
Rename Degree/Certificate Program Title or Program Designation Changes (docx)
- Includes renamed concentrations and undergraduate minors.
- These renamed concentrations and undergraduate minors are often submitted through the annual catalog process although they should be submitted to the Curricular Services team. However, the Office of the Provost will keep track of these changes for the upcoming academic year’s authorized matrices.
Program Closure (docx)
(close degree or certificate program)
- Includes concentrations, minors, and internal double majors and/or double degrees.
- No degree program will be closed until SACSCOC approval is secured.
- SACSCOC approval is not required for closing a minor, concentration and pathway, or internal double majors/double degrees, in adherence with its substantive change policy.
Program Consolidation (docx)
(consolidate degree or certificate program)
- Consolidate more than one degree or certificate into an existing degree or a certificate program.
Suspend an Academic Certificate (docx)
- The school/program faculty may request to suspend an academic certificate for a period of time.
Instructional Modality Changes or Additions (docx)
- Change or offer existing face-to-face programs as hybrid (49%-99%) or 100% online.
- Change or offer existing online programs as face-to-face programs.
Off-Campus Programs (docx)
- New, changes or closures at an off-campus instructional site.
- Will require the submission of a SACSCOC prospectus and its approval for a new off-campus instructional site as well as THECB approval.

Funding Model Change/Addition (docx)
- Offer existing programs as self-supporting cohort or executive education version.
- This change requires the submission of the THECB Enrollment & Budget Spreadsheet (xlsx).

Administrative Unit Changes (docx)
- Contact Dr. Inga Musselman and Eric Van Leeuwen for details before proceeding.
- Establish a new department within a UT Dallas school.
- Rename an existing department within a UT Dallas school.
- Establish a new school (or college or division).
- Rename college, school or department and retain existing degree programs.
- Relocate existing degree programs from one academic unit to another academic unit.
- The Office of the Provost will assist in developing a redlined copy of how changes will appear in the THECB program inventory.
