
Administrative Changes
Approval Requirements
Because of the varied nature of administrative changes, they may or may not require approval by The University of Texas System Office of Academic Affairs, the Texas Higher Education Coordinating Board (THECB), or Southern Association of Colleges and Schools Commission on Colleges (SACSCOC).
To streamline the process, only one form needs to be submitted for the following changes:
- Semester Credit Hours – Changes for Single Majors
- Semester Credit Hours – Changes for Double Majors
- Reclassify Classification of Instructional Program (CIP Codes)
- Rename Degree Program Title or Degree Code
- Rename an Academic Certificate
- Rename a Professional Certificate
- Close Degree Program
- Consolidate Degree Program
- Close an Academic Certificate Program
- Close a Professional Certificate Program
- Pause Applications for an Existing Degree Program
- Pause Applications for an Existing Academic Certificate
- Pause Applications for an Existing Professional Certificate
- Instructional Modality Changes or Additions
- Off-Campus Program (add, change, close)
- Funding Model Change/Addition

All forms must be submitted to Eric Van Leeuwen, Associate Provost for Curricular Services, for routing to internal governance committees and external agencies for approval as appropriate.
Semester Credit Hours (SCH) Changes for Single Majors (docx)
- Schools will need to complete the THECB’s SCH form for single majors and submit the completed form to Eric Van Leeuwen in Curricular Services.
- Upon approval from THECB, schools will submit the necessary catalog changes to the Office of the Registrar upon THECB’s approval.
Semester Credit Hours (SCH) Changes for Double Majors
- No form is needed for double majors.
- Requested SCH changes should be agreed upon by faculty for each represented major. If agreement cannot be reached, discussions will take place within or outside of the Council for Undergraduate Education.
- The double majors’ proposed changes undergo the internal UT Dallas governance process but will not go through THECB review unlike single majors.
- Both schools will submit the necessary catalog changes to the Office of the Registrar.
Reclassify Classification of Instructional Program (CIP Code) (docx)
- The school may request to reclassify the CIP code based on the changes made to a program’s curriculum.
- If the reclassification is a change from a non-STEM CIP code to a STEM code, the curricular changes will need to be evident (i.e., emphases on quantitative research courses, analytical methodologies, etc.)
- The school will provide a rationale within the form.
- The school will complete and submit the THECB form to Eric Van Leeuwen in Curricular Services.
Rename Degree Program Title or Degree Code (docx)
- The school will complete and submit the THECB form to Eric Van Leeuwen in Curricular Services.
- School websites will not display the renamed degree program until internal and external approvals have been secured.
Rename an Academic Certificate (docx)
- The school will complete and submit the UTD form to Eric Van Leeuwen in Curricular Services.
- School websites will not display the renamed academic certificate
until internal and external (as applicable) approvals have been
secured. - NOTE: If the school/program faculty wants to rename a minor or a
concentration/pathway/specialization/track, please email Van Leeuwen when the proposed change is sent to the Office of the
Registrar during the annual catalog changes process.
Rename a Professional Certificate (docx)
- The school will complete and submit the UTD form to Eric Van Leeuwen in Curricular Services.
- School websites will not display the renamed professional certificate
until internal approvals have been secured. - Curricular Services will update the authorized matrices accordingly.
Close Degree Program (docx)
- The school needs to complete and submit the THECB form to close a degree program, along with a SACSCOC teach-out plan. Contact Eric Van Leeuwen for further instructions and to obtain the SACSCOC Teach-Out Template. The school will complete both forms and submit them to Van Leeuwen for routing.
- Includes internal double majors/double degrees and dual degrees when they are offered with another institution of higher education.
- No degree program will be closed until SACSCOC approval is secured.
- SACSCOC approval is needed when dual degrees are offered with another institution of higher education.
- Upon SACSCOC approval for program closure, the degree program will be removed from the University’s public websites and authorized matrices.
- SACSCOC approval is not required for closing internal double majors/double degrees, in adherence with its substantive change policy.
Consolidate Degree Program (docx)
- Consolidate more than one degree into another existing degree.
- The school needs to complete and submit the THECB form to Eric Van Leeuwen in Curricular Services.
- The consolidated degree will be closed when merged into another existing degree, therefore, SACSCOC teach-out plan(s) will be needed for submission. Contact Van Leeuwen to obtain the Teach-Out template.
- No consolidated degree will be closed until SACSCOC approval is
secured. - Upon SACSCOC approval for program closure, the degree programs
will be removed from the University’s public websites, catalogs, and
authorized matrices.
Close Academic Certificate Program (docx)
- The school needs to complete and submit the UTD form to close an existing academic certificate program, along with a SACSCOC teach-out plan as applicable. Contact Eric Van Leeuwen for further instructions and to obtain the SACSCOC Teach-Out Template. The school will complete both forms and submit them to Van Leeuwen for routing.
- No academic certificate program will be closed until SACSCOC
approval is secured. - Upon SACSCOC approval for program closure, the academic
certificate program will be removed from the University’s public
websites, catalogs, and authorized matrices. - NOTE: If the school/program faculty wants to close a minor or a

concentration/pathway/specialization/track in adherence with its substantive change policy.
Close Professional Certificate Program (docx)
- The school needs to complete and submit the UTD form to close an existing professional certificate program. Contact Eric Van Leeuwen for further instructions prior to the school’s completion of the form for submission and routing.
- The professional certificate will not be deactivated or removed from
school websites or closed until internal approvals have been secured. - Upon internal approval, the professional certificate program will be
removed from the University’s public websites and authorized
matrices.
Pause Applications for an Existing Degree Program (docx)
- The school/program faculty may request to pause applications for an existing degree program for a period of time.
- The school/program faculty will need to provide a rationale because the request will not be granted automatically.
- The school needs to complete and submit the UTD form to Eric Van Leeuwen in Curricular Services.
Pause Applications for an Existing Academic Certificate (docx)
- The school/program faculty may request to pause an academic certificate for a period of time.
- The school/program faculty will need to provide a rationale because the request will not be granted automatically.
- The school needs to complete and submit the UTD form to Eric Van Leeuwen in Curricular Services.
Pause Applications for an Existing Professional Certificate (docx)
- The school/program faculty may request to pause an existing professional certificate for a period of time.
- The school/program faculty will need to provide a rationale because
the request will not be granted automatically. - The school needs to complete and submit the UTD form to Eric Van Leeuwen in Curricular Services.
Instructional Modality Changes or Additions (docx)
- Change or offer existing face-to-face programs as hybrid (49%-99%) or 100% online.
- Change or offer existing online programs as face-to-face programs.
- The school needs to complete and submit the THECB form to Eric Van Leeuwen in Curricular Services.
Off-Campus Programs (docx)
- New, changes or closures at an off-campus instructional site.
- Will require the submission of a SACSCOC prospectus and its approval for a new off-campus instructional site as well as THECB approval.

Funding Model Change/Addition (docx)
- Offer existing programs as self-supporting cohort or executive education version.
- This change requires the submission of the THECB Enrollment & Budget Spreadsheet (xlsx).

Administrative Unit Changes (docx)
- Contact Dr. Inga Musselman and Eric Van Leeuwen for details before proceeding.
- Establish a new department within a UT Dallas school.
- Rename an existing department within a UT Dallas school.
- Establish a new school (or college or division).
- Rename college, school or department and retain existing degree programs.
- Relocate existing degree programs from one academic unit to another academic unit.
- The Curricular Services team will assist in developing a redlined copy of how changes will appear in the THECB program inventory.
